How to collect wedding photos from guests

Use a photo upload QR code, well-timed reminders and practical placement ideas to collect more wedding pictures from your guests.

Make the QR visible

Place it where guests pause: the welcome area, selected tables, the guest book, bar or photobooth.

Explain the purpose

Use a direct instruction such as “Scan to share your wedding pictures” rather than displaying an unexplained code.

Remind at the right moments

Ask the MC or wedding party to mention uploads once guests have started taking pictures, then send a follow-up link.

Reduce the effort for guests

Participation falls when guests must install software, create another account or work out what a QR is for. Put the action in the wording and keep the scan-to-upload route short.

People who prefer not to scan can receive the same guest link in a follow-up message while uploads remain enabled.

Prompt a wider range of pictures

Give guests useful prompts: preparations, table groups, venue details, candid reactions and the dance floor. These requests complement the formal photography without asking guests to replace the photographer.

Keep professional delivery separate

Enable the photographer channel in the owner dashboard and create its private upload link and PIN. Photographer and photobooth files still arrive in the same event, but the private bulk route is separate from the guest-facing QR.

Frequently asked questions

When should guests be told about photo uploads?

Mention the photo QR when guests are taking pictures: during the reception, near the guest book or photobooth, and again before everyone leaves.

How many QR displays should a wedding use?

Use enough that guests encounter one naturally without covering every surface. A welcome area plus selected tables or activity points is usually clearer than relying on one distant sign.

Can guests upload pictures after the wedding?

Yes, while the event and guest channel remain live. A follow-up message containing the guest link can collect pictures from people who forgot on the day.

Should professional photos use the guest QR?

Fotoprynt provides a separate photographer upload channel. The owner can create a private link and PIN for a photographer or photobooth operator.
